Description:

Lincoln Memorial University is seeking a dedicated and organized Administrative Assistant for the Facilities Department at its Harrogate, Tennessee campus. This role is a full-time, on-site position, ideal for someone with at least two years of administrative or clerical experience in a similar capacity.

The Administrative Assistant will play a pivotal role in supporting the university's building maintenance operations and administrative processes. Key responsibilities include:

  • Communication and Call Management: Receiving incoming calls, providing appropriate information to callers, routing calls to the correct departments, and maintaining a detailed log of callers’ names, call times, nature of inquiry, and the intended recipient of the call.

  • Documentation and Reporting: Preparing maintenance work orders, typing business correspondence, reports, memos, schedules, and statistical or financial data with accuracy and efficiency.

  • Data Management: Checking, tabulating, and maintaining statistical or accounting records, and organizing physical and digital filing systems for quick access and proper documentation control.

  • Mail Handling: Reading, sorting, and routing incoming mail, as well as preparing and dispatching outgoing mail on a daily basis.

  • Scheduling Support: Coordinating and scheduling appointments as needed for department heads or staff members.

  • University Engagement: Actively promoting the mission of Lincoln Memorial University to students, faculty, and the broader community. Encouraged participation on university committees to foster interdepartmental collaboration and community-building.

  • Compliance and Accreditation: Assisting with the completion of institutional and program accreditation reports, as well as supporting the preparation of operational and strategic documents for the university's advancement.

  • Other Duties: Performing other duties as assigned by department supervisors to ensure smooth and efficient operations within the Facilities Department.

Qualifications:

  • Required: High school diploma and a minimum of two years of experience in a similar administrative role.

  • Preferred: Candidates with prior experience in academic or facilities support environments will be given preference.
