The Alamo Colleges District, an award-winning collective of five Hispanic-Serving Institutions and the nation’s only combined HSI and Historically Black College and University, is seeking a highly organized and proactive Administrative Services Specialist to provide comprehensive administrative support for department leaders, staff, students, and visitors. Serving more than 70,000 students annually, the district focuses on economic and social mobility, workforce education, and community empowerment.

In this role, the Administrative Services Specialist will lead and manage daily administrative operations for the assigned department, ensuring smooth communication, documentation, and coordination. The position will involve managing schedules, correspondence, and records; preparing reports; supporting departmental projects; and assisting in event coordination. Responsibilities will also include greeting and assisting visitors, handling inquiries, maintaining office supplies, and supporting both on-site and virtual administrative functions.

The selected candidate will need strong interpersonal and organizational skills to collaborate effectively with diverse teams, maintain confidentiality, and ensure compliance with institutional and grant requirements. This role demands attention to detail, time management, and the ability to work independently as well as part of a collaborative environment.

Qualifications:

  • Minimum: Associate’s degree or equivalent combination of education, training, and experience

  • At least 3 years of administrative or related experience

  • Strong written and verbal communication skills

  • Ability to manage multiple priorities and work effectively in a fast-paced environment

  • Proficiency in office software and technology tools

  • Commitment to serving diverse populations and supporting the college’s mission

Preferred:

  • 5+ years of administrative or related experience

  • Supervisory experience

  • Experience working in a public or higher education setting

Work Schedule:

  • Full-time, 40 hours per week (Hourly)
