Affiliates And Traveling Exhibitions Coordinator

 

Description:

The position is for an Affiliates and Traveling Exhibits Coordinator. This role involves a combination of communication skills, sales, and business development with a service-oriented approach. The coordinator will be responsible for various tasks including managing affiliate relationships, coordinating events, developing sales strategies for traveling exhibits, maintaining exhibit calendars, and cultivating interest in the organization's programs. The ideal candidate should possess strong interpersonal and organizational skills, the ability to work independently and in a team, attention to detail, and enthusiasm for the mission of History Colorado.


This full time position is term limited for 24 months. One day a week can be worked from home.


Duties Include:


Affiliates Program Outreach

  • Maintain up-to-date lists of current members and prospective members, in coordination with membership team and database

  • Distribute Affiliates program information through mail, e-mail and phone calls to prospective members

  • Cultivate interest in the program and actively enroll new Affiliate members

  • Help process new memberships and acknowledge members

  • Maintain relationships with Affiliates and continually assess needs


Traveling Exhibit Outreach

  • Assist in the development of a sales strategy for What’s Your Story? exhibition to museums nationally - could include tabling at conferences, direct mail etc.

  • Distribute collateral promoting the What’s Your Story? exhibit to appropriately sized museums in Colorado and outside Colorado

  • Implement the sales strategy for What's Your Story? exhibition

  • Assist in the creation of collateral for traveling exhibits - sales sheets, install manuals

  • Maintain and distribute calendar of traveling exhibit opportunities to Affiliates and other interested organizations

  • Make follow-up calls, sending letters and e-mails, and other communications as needed to foster interest in What’s Your Story? and other traveling exhibits

  • Create and maintain files and collateral of all possible HC exhibits to travel, including those traveling to Affiliate member organizations

  • Conduct initial meetings with prospective client organizations, discuss logistics, answer questions, and make introductions to other relevant HC staff

  • Work collaboratively with Exhibit Team to maintain an up-to-date traveling exhibit calendar and to schedule the rotation of exhibits


Affiliate Member Services


  • Gather content and develop monthly e-newsletter for Affiliate members

  • Respond to inquiries from Affiliates members as directed by Affiliates Director

  • Coordinate Affiliate convenings, both virtually and in-person

  • Support HC staff in providing consulting services and consultative service visits to Affiliate members, including confirming details, coordinating travel arrangements, and attending visits as needed

  • Complete mail merges for member services
