Assistant Director Of Business Operations

 

Description:

The Assistant Director of Business Operations is a visionary leader of the Division of Operations and provides direct budgeting and accounting support to the Facilities and Capital Program departments. This role requires demonstrated proficiency in accounting and Enterprise Resource Planning (ERP) functions, ability to unpack contracts and develop KPI’s for vendors, knowledge of public procurement practices, sound understanding of data driven decisions, previous work in organizational design, and performance management strategies.

Minimum Qualifications:

  • Master’s degree in Business Administration, Public Administration, Educational Administration, Organizational Management, or related field required.
  • Minimum of three (3) years’ professional experience with a history of successfully managing projects and people and/or supporting budgeting across multiple teams or departments.
  • Must demonstrate proficiency with all Microsoft Products, specifically Word, Excel, Microsoft Forms, SharePoint, and Teams
  • Experience with Microsoft Lists, E-builder, and PowerBI strongly preferred; candidates who are unfamiliar must be self-starters who are willing and able to learn quickly.
  • Proficiency in ERP (PeopleSoft or similar system), and survey design tools (Qualtrics, MS Forms)
  • Experience with requisition and purchase order management and maintaining accurate financial and statistical records.
  • Expertise in developing cross-departmental project plans including goals, milestones, dates, and responsibilities¿
  • Experience in the development and tracking of budgets
  • Must possess strong communication skills, both in verbal and written formats.
  • Excellent research, organizational, implementation, and development skills required
  • Must demonstrate ability to prioritize and manage multiple tasks.

Essential Functions:

  • Lead contract negotiation and creation of KPI’s and meetings to hold vendors accountable for accurate invoices and scope of work.
  • Guide facilities, project management, and capital project team members through use of the purchase requisition and purchase order dispatch process and maintain tracking data for presentations.
  • Create and use data tracking tools to report relevant data to team members and other departments.
  • Navigate and communicate the relationship between board approved, contract, and purchase order values.
  • Track and manage multiple funds and hundreds of line items to ensure projects fit below or at budgets.
  • Discover the most efficient ways to analyze costs per District building, and maintenance expenditures.
  • Develop financial structure for all capital projects and manage the e-builder implementation process through owner’s representative coordination, development of implementation strategies with IT and communication with the Finance Department.
  • Provide support and strategic consultation with Finance Department to communicate capital cash flow needs.
  • Manage, develop, and evaluate Business Ops staff.
  • Prioritize work activities and effectively use time to manage and submit projects before deadlines.
  • Manage frequent change, delays, or unexpected events and use approach or method to best fit the situation.
  • Skilled in developing organizational effectiveness through talent development, performance management, and leadership training
  • Work with partnerships and finance department to provide oversight of grants
  • Showcase and utilize in depth knowledge of diverse business functions and principles (i.e., analyze financial data for decision support and high level recommendation).
  • Generate high level, data-driven analyses with charts and graphs for executive leadership based on operational metrics.
  • Apply knowledge of business principles and organizational development within the constructs of an urban school district.
  • Ability to read and interpret documents such as financial reports, State codes, regulations, and Board policies.
