Billing Specialist

The Billing Specialist serves as the main liaison between client service teams and the Accounting Department, ensuring accurate billing, accounts receivable tracking, and compliance with commercial terms in project contracts.

Key Responsibilities:

• Initiate and assist with project setup in Deltek Vision (or similar) software

• Review contracts for billing structure and compliance

• Coordinate and prepare monthly client billings; ensure accuracy and completeness

• Monitor and follow up on outstanding accounts receivable

• Communicate with internal teams and clients regarding billing issues

• Review and approve employee timesheets and expense reports

• Enter and track subconsultant invoices, manage payments

• Develop strong working relationships with client executives and internal teams

• Maintain confidentiality of sensitive corporate and client-related information

• Travel occasionally (up to 10%) to meet with assigned teams

Required Skills & Abilities:

• Strong interpersonal and customer service skills

• Solid bookkeeping background

• Attention to detail with excellent organizational abilities

• Understanding of electronic billing systems and ability to interpret contract terms

• Proficiency in Microsoft Office (Word, Excel, Outlook)

• Experience with Deltek Vantagepoint or similar software is preferred

Education & Experience:

• Minimum 2-year post-secondary education

• Prior billing/accounting experience, preferably in engineering or construction industry

Physical Requirements:

• Ability to sit and work on a computer for extended periods

• Capable of lifting up to 15 pounds occasionally
