Chief Administrative Officer

 

Description:

The CAO has responsibility for Texan by Nature’s human resources, contracts, internal processes and documentation, financial reporting, and office administration. They will coordinate with the senior leadership team supporting marketing, programs, and development. They will be heavily involved in the strategic direction of Texan by Nature and achieving the goals outlined in TxN’s strategic plan including primary ownership of internal organizational excellence goals. The position reports to the CEO.

- Serve as the internal leader of the organization, managing day-to-day administrative needs

- Oversee and ensure accuracy of payroll, employee benefits, and business insurance. Ensure compliance with all labor law and employment practices

- Oversee process for hiring and onboarding new talent

- Oversee process for performance evaluations and compensation review. Support recruitment and talent retention strategies

- Handle all contracts, including grant agreements, business and vendor contracts, subcontracts, and federal agreements. Ensure compliance with federal procurement standards when applicable. Reviews all legal documents and Terms of Services

- Oversee monthly and annual financial reporting, including the conduct of an annual audit and any other grant reporting audits needed

- Review and approve financial transactions. Manage banking relationships and investment accounts

- Manage physical facilities and assets

- Identify, select, and work with consultants to supplement expertise when necessary

- Help establish and track progress towards organization-wide goals

- Manage Texan by Nature Advisory Council

- Actively participate in the development of funding proposals and new initiatives as well as reporting requirements

- Act as liaison with the Board Policies and Procedures Committee

- Engage with the Board of Directors, primary funders, and other key external stakeholders around organizational impact and plans for the future

- Represent Texan by Nature at various events, forums and conferences as assigned

- Provide administrative support and coordination for CEO activities; coordinates meetings; composes correspondence and reports; maintains confidential database systems; maintains verbal and written communication with internal and external constituents

- Support and be responsive to the needs of Texan by Nature.

Specialized Knowledge/Skills/Abilities:

- A strategic thinker who understands how operations and finances support the broader mission

- Depth of experience in managing teams, supporting cross-functional collaboration, developing staff, and setting clear goals

- Proven ability to forecast financial models, control expenses, while supporting growth

- Experience in nonprofit financial management; experience with contracts

- Knowledge of and experience with workforce laws and trends

- Knowledge of GAAP and accrual-based accounting practices. Experience with annual audits

- Results-proven track record of exceeding goals and a bottom-line orientation; evidence of the ability to consistently make good decisions through a combination of analysis, wisdom, experience, and judgment

- Strategic vision and agility-ability to think strategically, anticipate future consequences and trends, and incorporate them into the organizational plan

Education & Experience:

- BA/BS degree and 15 years minimum experience in operations, human resource, contract and/or financial management or equivalent combination of education and experience. Education and/or experience in natural resource conservation and/or nonprofit operations and management a plus.

- Advanced degree preferred but not required.
