Description:
We are seeking a sharp, highly organized Chief of Staff to serve as the right hand to our CEO and small but growing team. This role is ideal for a self-starter who thrives in fast-paced, high-stakes environments and wants to help scale a startup that operates at the highest levels of communications, production, media, and consulting.
You will help scheduling, streamline internal processes, and serve as a central point of coordination across teams and projects. You’ll also help manage internal expense tracking and reporting, and serve as a liaison between the team and our Chief Financial Officer (CFO) to ensure seamless communication and alignment on budget-related matters.
This role will focus on supporting a long term project and client through December 2026 while the business grows with additional client basis and services.
Key Responsibilities
- Executive Support: Act as a strategic thought partner to the CEO, helping manage priorities, communications, scheduling, and special projects
- Scheduling and travel: Manage complex calendar and scheduling to support teams in multiple locations. Manage, book travel, and coordinate for production team
- Operations & Administration: Oversee administrative and HR functions on behalf of leadership; implement systems and processes that support efficiency and growth. Organize internal meetings and onboarding. Ensure the timely completion of critical tasks and follow up on matters. Act as a liaison for direct reports
- Expense Coordination: Manage expense report coordination and submission
- Project Management: Track deliverables across media, communications, consulting, and other project engagements. Maintain internal timelines and accountability structures
- Liaison to CFO: Serve as the point of contact between staff and the CFO to help ensure clarity around budget processes, purchasing, and project tracking
- Client & Contract Coordination: Support proposal development, contract execution, and client communications. Help manage vendor and subcontractor relationships
- Event support: assist with planning and logistics of events ranging from small to large locally with the possibility to travel as needed occasionally to execute events.
Qualifications
- 3-6 years of experience in administrative support, business operations, executive support, communications, consulting, government, politics, or startup environments
- Exceptional organizational, communication, and multitasking skills
- Strong judgment, discretion, and professional polish—able to represent the CEO and company at high levels
- Proficiency with productivity tools (Google Workspace, Slack, Notion, etc.)
- Experience in media, government, operations, or professional services is a plus
- Startup mentality: scrappy, solution-oriented, and comfortable wearing many hats
