Description:
We are seeking an organized and detail-oriented Construction Project Coordinator to join our team. This role is critical in ensuring the smooth execution of construction projects, with responsibilities ranging from project billing and contract management to new job setup in our system. The ideal candidate will be able to effectively manage multiple tasks in a fast-paced environment while maintaining high attention to detail.
Key Responsibilities:
Project Billing:
Prepare and submit accurate and timely invoices to clients.
Ensure complete billing documentation, including change orders and additional billable items.
Work closely with the accounting department to resolve billing discrepancies and respond to client inquiries related to invoices.
Contract Management:
Assist with reviewing and managing project contracts, ensuring compliance with all terms and conditions.
Maintain organized records of contract documents and correspondence.
Track milestones and deadlines to ensure timely project progress and payment schedules.
New Job Setup:
Set up new construction projects in the company’s project management system.
Accurately input project details, budgets, and key milestones.
Work with project managers to ensure all project setup details are communicated clearly.
Administrative Support:
Provide general administrative support to project managers and construction teams.
Assist with project reports, documentation, and presentations.
Help maintain organized project files and records.
Assist the Accounting department with Accounts Payable (AP) and Accounts Receivable (AR).
Qualifications:
Minimum of 2 years of experience in construction project coordination or billing.
Proficient in Microsoft Office Suite, especially Excel and Word.
Experience with construction project management software is a plus.
Excellent organizational and time-management abilities.
Detail-oriented and capable of maintaining accurate records.
Strong communication and interpersonal skills.
Ability to work both independently and as part of a team.
Familiarity with construction industry terminology and processes is preferred.
