Description:
The Executive Assistant is responsible for providing professional administrative support to C-level and/or Senior Executives through calendar management, travel and transportation planning, and meeting and event management.
As a key point of contact in a global workplace, the EA is astute in their presentation and interactions with a variety of stakeholders.
They calmly navigate through and manage complex, unpredictable, confidential, and evolving schedules, and will leverage their keen ability to prioritize tasks based on urgency and importance.
What you will do
- Manage complex schedules and calendars of executive-level employees, including calendar, travel, and meeting management.
- Coordinate with travel agents and manage all aspects of travel, including transportation and lodging.
- Manage and complete executive expense reports; reconcile credit card statements and ensure accuracy of reports.
- Organize and execute team activities and meetings, all-hands meetings, quarterly on-sites/off-sites, social events, and customer visits.
- Build strong and trusted relationships with Executives and their leadership teams; maintain a high level of integrity while dealing with confidential matters.
What we are looking for
- Post-secondary diploma or degree in a related field, or equivalent experience.
- 5+ years of progressive Executive Assistant experience, preferably in a high-tech environment; must-have experience reporting to C-level or senior executives.
- Experience coordinating and securing complex travel arrangements for executive team members optimizing routes and timing.
- Analytical and problem-solving skills; Demonstrates ability to think critically when faced with challenges.
- Demonstrates ability to prioritize tasks based on the needs of the business; proactively solicits feedback to ensure alignment.
- Professionally skilled in communications using articulate, publishable, written, and verbal communication.
- Agile and resilient in managing multiple schedules and calendars with multiple sources of information.
