Innodata Inc., a rapidly growing data engineering and generative AI company, is seeking a highly skilled and strategic Executive Administrative Partner to the CEO. This is not a typical executive assistant role—it is a dynamic, high-impact position designed for an individual who thrives in a fast-paced environment, manages complex tasks with precision, and serves as a trusted extension of the CEO.
As a key business and personal confidant, you will work at the center of strategic operations—managing communication, driving high-value projects, overseeing investor relations, and ensuring smooth day-to-day and long-term organizational execution. The ideal candidate will demonstrate exceptional professionalism, strategic insight, and the ability to anticipate and manage the CEO’s needs with utmost discretion and judgment.
Strategic Partnership: Work as an operational and strategic partner to the CEO, ensuring alignment on priorities and initiatives while managing both professional and personal matters with discretion.
Project Management: Lead and coordinate high-impact, sensitive projects from concept through execution, including M&A initiatives, operational redesign, and CEO staff offsites.
Executive Coordination: Manage the CEO’s dynamic schedule, to-do list, travel itineraries, and meeting preparations. Ensure the CEO is fully briefed and prepared for all engagements.
Communication Management: Gatekeep and streamline all inbound communication to the CEO, including emails, calls, and external correspondence. Draft, review, and edit high-stakes documents and presentations.
Investor & Board Relations: Serve as a liaison with shareholders and board members. Prepare and coordinate materials for board meetings, earnings calls, and quarterly business reviews.
Operational Leadership: Implement efficient workflows, tools, and systems to improve executive operations and organizational effectiveness.
Confidentiality & Discretion: Handle all sensitive information with the highest level of confidentiality, professionalism, and integrity.
Travel & Event Support: Coordinate complex domestic and international travel schedules and provide on-site support for meetings and events when needed.
Cross-Functional Collaboration: Work closely with executive team members and departments to ensure organizational alignment on key initiatives and deadlines.
Proven track record as an Executive Assistant, Chief of Staff, or Executive Partner to a CEO or C-suite leader.
Exceptional written and verbal communication skills with a polished, professional demeanor.
Strong analytical and problem-solving abilities with meticulous attention to detail.
Experience handling board and investor communications in a corporate environment.
Proficiency in modern tools such as Google Workspace, Slack, and productivity platforms.
Highly organized, proactive, and adaptable with the ability to manage multiple priorities under pressure.
Ability to travel occasionally for business and support CEO as required.
Must maintain consistent on-site presence at Ridgefield Park, NJ.
Flexibility to work evenings or weekends for urgent CEO-related matters.
This role demands extreme attention to detail, strategic judgment, and superior organizational skills. The ideal candidate will be a trusted advisor, capable of handling confidential information with integrity, managing complex operations efficiently, and representing the CEO and company with professionalism.
You will also coordinate domestic and international travel, manage expenses, assist other executive team members as needed, and support ongoing operational improvements to enhance the productivity and effectiveness of the executive office.
