Description:
Paramount Global, a leading global media and entertainment company, is seeking an Executive Assistant to support the EVP, Head of Global Procurement; and the VP, Process and Compliance. The position requires managing complex schedules, organizing global travel, preparing executive meetings, and acting as a critical communication hub. Key success factors include advanced time management, strong communication skills, problem-solving, empathy, discretion, and the ability to work collaboratively in fast-paced, high-stakes environments. The Executive Assistant also helps coordinate across leadership teams, supports meeting preparation and follow-up, and maintains confidentiality, enabling those they support to focus on strategic priorities. This is an on-site (M-F) position based out of the Paramount Nashville office.
Responsibilities
- Manage complex calendars, including scheduling meetings, appointments, and travel arrangements across multiple time zones.
- Prepare and coordinate logistics for meetings, events, and off-sites, including agenda development, materials preparation, and follow-up actions.
- Screen and prioritize incoming communications (emails, calls, mail) and respond or delegate as appropriate.
- Draft, proofread, and edit correspondence, presentations, and reports on behalf of the executive.
- Coordinate and track critical projects and deliverables, ensuring deadlines are met.
- Conduct research and prepare executive summaries, briefs, or background materials for key initiatives and meetings.
- Assist in the development and management of budgets, expense reports, and invoice processing.
- Serve as a primary point of contact for internal and external collaborators, maintaining professionalism and confidentiality.
- Plan and run executive-level events, team meetings, and external engagements.
- Exercise sound judgment in all communications and decision-making.
- Ensure the executive’s office runs smoothly and is equipped for daily operations.
- Liaise with IT, HR, Legal, and other corporate functions as needed.
- Manage special projects and other duties as assigned.
Basic Qualifications
- Bachelor’s degree or equivalent experience required; advanced degree or certification preferred.
- 6+ years of experience supporting senior executives, ideally within large, complex organizations (Fortune 500/100 experience a plus).
- Proven ability to manage multiple tasks and priorities seamlessly with excellent attention to detail.
- Advanced proficiency with Microsoft Office Suite, calendar management tools, PowerPoint and virtual collaboration platforms (e.g., Teams, Zoom).
- High degree of professionalism, integrity, and discretion.
- Experience in managing confidential information and sensitive communications.
