Job responsibilities:

  • Maintain all aspects of the General Ledger System using QuickBooks Online, including processing all payments and deposits, completing all related reconciliations, and uploading invoices and receipts necessary to maintain accurate accounting records.
  • Complete all aspects of payroll in the payroll system, including posting to QuickBooks Online and reconciling all related payroll accounts.
  • Track and complete employee and employer contributions to the Simple IRA plan monthly. Guide the transition from a simple IRA to a 401k plan in 2025.
  • Create journal entries for all accounts, including fixed assets
  • Monitor cash flow, bank accounts, and other financial transactions.
  • Process refunds for patients and insurance companies, as advised by the Billing and Insurance Manager.
  • Ensure adherence to financial and accounting laws, rules, and best practices, including conformance to GAAP
  • Monitor cash flow, compare monthly expenses to the budget, and communicate with Executive Director on spending trends
  • Create the annual organizational budget with support from program Directors, and present the budget and annual hiring plan to the Board of Directors.
  • Prepare monthly financial reports for the Executive Director, including those needed for the Finance Committee and Board of Directors meetings. Attend the Finance Committee meeting every other month.
  • Review staffing needs with ED to determine areas of over- or under-staffing as programs change or grow
  • Track client visits with the support of the Lead Billing Specialist and analyze trends and productivity to create projections for hiring and program expansion
  • Assist the Executive Director and Development Director with any financial information needed for grant applications and reporting.
  • Coordinate with the Executive Director and Board of Directors on capital projects
  • Attend monthly Leadership Team meetings
  • Gather all information for the year-end 990 form and submit it to the accountant in a timely manner. Provide year-end reports as needed for taxes including program allocations, donations etc.
  • Ensure all quarterly 941 forms are filed in a timely manner.
  • Gather purchase information from all clinics for annual property tax reporting for each county and prepare property tax returns.
  • Prepare unclaimed property reports for Oregon State Treasury
  • Manage historical financial records.
  • Follow all financial policies currently in place, and work with Directors to draft additional policies as needed.
  • Lead the financial audit bi-annually
  • All other assigned duties
