Job Responsibilities:
● Registrar
- Maintain all student academic and medical records for K-8
- Maintain class rosters
- Prepare field trip binders for each class
- Prepare needed paperwork for teachers such as class lists, phone lists, and copies of students’ registration forms
- Assist Director of Preschool with student records as needed
● Human Resources
- Manage the hiring process for new employees including posting jobs, screen candidates, scheduling interviews, maintaining records, etc.
- Provide new employees with required paperwork, including I-9’s, W-4’s, reference checks, employee release forms, background checks, and emergency contact forms.
- Include copies of each employee’s documentation with their I-9
- Establish an individual file on each employee and maintaining a checklist of the employee’s completed paperwork
- Ensure that personnel records are in compliance with DHS requirements, monitoring any missing paperwork and informing supervisors when employees have not completed required paperwork
- Document and monitor due dates for background checks and informing employees or supervisors on a monthly basis of due dates for background checks that need updating
- Track employee leave request and maintain attendance records on all employees, including teachers, afternoon personnel, and administrators
- Complete files of employees that are terminated
- Aid directors in providing orientation for new employees
- Maintain records of attendance at orientation sessions and providing directors with lists of new personnel who need to attend
- Maintain a Staff Information Binder with staff information in alphabetical order, including photographs, addresses and phone numbers
- Assist Administration with maintaining training hours
- Communicate with payroll processor about any changes that need to be made to payroll information
- Organize Substitute Teachers scheduling
■ Assigning substitutes work schedules for the day
■ Maintaining substitute log
■ Organizing substitutes for special days such as parent conferences, etc.
● Admissions
- Schedule tours in coordination with academic leader schedule
- Occasionally give tours of the campus
- Be knowledgeable and able to answer basic questions about the preschool and elementary programs, the application, and admission process.
- Follow up on applications and required records and documents for admission
● Accounting
- Obtain approval for all invoices and process payments each week
- Assist Head of School in maintaining financial records and reports
- Create monthly journal entries to ensure accuracy of school’s general ledger
- Support school in creation of annual operating budget
- Maintain records on all donations to school
- Manage student billing accounts including assisting any parent questions
- Be primary contact for all questions and issues related to the LEARNS Act (EFA funds)
● Communications
- Maintain school’s social media presence
- Communicate with media company in regards to website updates or changes
- Oversee monthly school-wide newsletter content
- Assist Head of School and Preschool Director in any recruiting or marketing campaigns
● Other Administrative Duties
- Assist with oversight of afterschool program
- Act as direct supervisor for school’s front desk receptionist
- Maintain Health/Injury Reports
- Schedule vision and hearing screenings at the beginning of the school year
- Other duties as assigned
Job Qualifications:
- Required - High school diploma or equivalent, Christian worldview, Strong public relation and customer service skills, 2-4 years of office experience or equivalent, Love children and serving in a Christian school community, Well organized and attention to detail
- Preferred - College degree in business, management, or accounting, Accounting experience with QuickBooks, Familiarity with marketing or managing social media, Proficiency with human resources regulations, Experience working in a school environment, Willing to learn new skills and work as a team to accomplish our goals
