CubeSmart, a nationally recognized leader in self-storage solutions, is seeking an experienced and detail-oriented HRIS / Payroll Specialist to join its corporate team in Malvern, PA. This key position supports both Human Resources Information Systems (HRIS) and Payroll operations, ensuring accuracy, compliance, and seamless HR process integration across multiple states.

The HRIS / Payroll Specialist plays a critical role in maintaining data integrity, optimizing system performance, and ensuring timely and accurate payroll processing.
HRIS Management
Maintain and update employee records with a high level of accuracy and confidentiality within HRIS systems (UKG, ADP, or similar).
Configure, test, and implement system enhancements, upgrades, and process improvements.
Serve as the primary point of contact for HRIS-related troubleshooting and support.
Conduct data analysis to identify root causes of issues and develop process improvement solutions.
Collaborate closely with HR, Payroll, and management teams to ensure efficient workflow and compliance.
Support internal and external audits, including documentation of system releases and change management tickets.
Assist in creating and maintaining training materials for HRIS and payroll processes to improve user self-sufficiency.
Payroll Administration
Process weekly payroll for exempt employees and serve as backup for non-exempt payroll processing.
Audit weekly payroll reports for accuracy, verifying tax codes and deductions across multi-state operations.
Handle payroll tax setups, reconciliations, and quarterly audits while resolving discrepancies promptly.
Ensure compliance with multi-state tax and labor regulations.
Maintain payroll data integrity and adhere to all internal controls and reporting requirements.
Provide exceptional service to employees and internal departments regarding payroll inquiries and HRIS tools.
Minimum Requirements
3–5 years of progressive experience in HRIS system administration and payroll operations.
Proficiency with HRIS platforms such as UKG, ADP, or similar enterprise systems.
Strong understanding of multi-state payroll processing and compliance.
Demonstrated excellence in analytical, problem-solving, and organizational skills.
Exceptional attention to detail and accuracy in data management.
Advanced Microsoft Excel proficiency and general Microsoft Office expertise.
Strong communication and interpersonal skills with the ability to collaborate across departments.
Ability to manage multiple priorities in a fast-paced and deadline-driven environment.
Preferred Qualifications
Bachelor’s degree in Human Resources, Accounting, Finance, or a related discipline.
Experience with Cognos BI reporting and analytics.
Familiarity with change management and external auditor controls related to HRIS system modifications.
