Litigation Administrative Assistant

 

Description:

Cohen Seglias is seeking a highly organized and experienced Litigation Administrative Assistant to support attorneys in the firm’s litigation department. The role involves providing essential administrative support while ensuring the timely completion and accuracy of tasks. The ideal candidate will have extensive litigation experience, familiarity with e-filing, and strong computer skills, particularly with document management programs.

Key Responsibilities:

  • Finalize documents for attorneys, including correspondence, pleadings, and other legal documents.

  • Draft cover letters and proofread documents for accuracy in spelling and formatting.

  • Revise documents as instructed by attorneys.

  • Demonstrate extensive knowledge of e-filing in PA, NJ, and Federal Courts.

  • Coordinate faxing, copying, and mailing of documents, ensuring all attachments and exhibits are included.

  • Manage documents through IManage/FileSite, including uploading physical and electronic correspondence, pleadings, etc.

  • Format briefs, including inserting a Table of Authorities and Table of Contents.

  • Edit PDFs, including combining documents, inserting cover pages for exhibits, and adding signatures.

  • Maintain attorney calendars, scheduling appointments, court deadlines, meetings, and other necessary dates.

  • Review incoming correspondence and pleadings to ensure important dates are calendared and deadlines calculated for pleadings and discovery responses.

  • Maintain physical and electronic files, including updating pleadings, creating folders, and organizing documents in the firm’s document management system.

  • Update the firm’s systems with party information, such as attorney representation and addresses.

  • Handle financial functions, including preparing expense reimbursements, making check requests, and notifying parties when credit cards are used for court filings.

  • Follow procedures when opening new matters, including conflict checks, engagement letters, and completing client intake forms.

  • Multitask to ensure timely completion of all assigned duties.

  • Adhere to the firm’s Standard Operating Procedures (SOPs).

Qualifications:

  • 2-5 years of heavy litigation experience.

  • E-filing experience in PA, NJ, and Federal Courts.

  • Strong document management skills, particularly with IManage/FileSite.

  • Proficiency with formatting briefs and editing PDFs.

  • Experience maintaining calendars, scheduling appointments, and coordinating deadlines.

  • Strong computer skills, particularly with legal software and document management programs.

  • Ability to handle multiple tasks simultaneously and meet deadlines.
