Position Highlights:

  • Lead coordinator for annual Speed Ball, Art of Bourbon, annual acquisition dinners, exhibition preview events, and yearly donor-based events. Covers programming events when needed.
  • Works with relevant departments to organize and execute all details for donor-based events. This includes planning timelines, setting events in organizational calendar, floorplans, booking talent, contract facilitation, décor, catering, promotion, signage, and staffing.
  • Works with Associate Director of Programming and Events to set processes for internal events and programs.
  • In coordination with Philanthropy department, monitor event budgets, track expenses and budgetary needs throughout the year.
  • Works directly with Marketing & Communications department to develop event marketing, promotional materials and develops timelines for invitations to internal events.
  • Collaborate with PR and media contacts to ensure strategic alignment of event needs and execution.
  • Communicates event logistics to relevant departments prior to events.
  • Work closely with Production Manager to determine audiovisual needs for events & programs.
  • Manages relationships with vendors to include mutually beneficial pricing, partnerships, arrival/setup, event execution, and breakdown.
  • Prompt paperwork filing for Finance Operations, including vendor establishment, processing of invoices, and recognition in marketing processes.

Qualifications:

  • 3 to 5 years of experience in events management with a proven track record of success planning events and programming. Experience in fundraising events is a plus.
  • Ability to work effectively in a team environment.
  • Excellent organizational skills, including multitasking, time management, and attention to detail.
  • Excellent customer service, interpersonal, and communication skills.
  • High level of initiative and exceptional problem-solving skills with ability to provide creative solutions and utilize diplomatic skills with minimal supervision.
  • Experience with vetting complex issues utilizing strong management skills and critical thinking.
  • Must have evening and weekend availability for events and programs.
