We are seeking a dynamic and proactive Office Manager to help lead our growing clinic. The ideal candidate will be a forward-thinking, innovative leader who thrives on finding opportunities for growth and improvement.
In addition, as an Office Manager, you will play a pivotal role in overseeing the administrative operations of our organization. Your responsibilities will include managing day-to-day office activities, supervising support staff, and ensuring the smooth functioning of administrative processes.
Clinic hours are Mon-Thurs 9am-5pm, closed on Fridays. The Office Manager works directly alongside the patient coordinator. The team arrives at 8:30am and ends the day around 5:30pm based on business needs.
The Office Manager will work as the patient coordinator 2 days a week. The full clinic hours are split between the 2 patient coordinators: this position is for Wednesday/Thursday in person in the clinic.
The Office Manager aspect of the job can be done virtually for 2 days a week.
Key Responsibilities:
- Identify and seize growth opportunities to help expand the clinic and its reach
- Lead with a forward-thinking approach, implementing innovative ideas for operational improvements
- Strengthen team morale and boost employee retention through leadership and collaboration
- Resolve complex situations with ease, ensuring positive outcomes and maintaining a smooth workflow
- Foster a positive, productive, and supportive environment within the clinic
- Open and close the clinic
- Managing patient scheduling
- Answer and service all incoming calls; including explaining our holistic operations vs traditional healthcare
- Oversee all patient billing; including routine auditing, processing payments, and conflict resolution
- Inventory Management; budgeting financial goals/overview of supplements stocked in clinic/updating Square costs as needed
- Lead, mentor, and manage administrative staff, fostering a positive and collaborative work environment.
- Coordinate and organize office events, external vendors, and service providers.
- Identify cost-saving measures and efficiencies to optimize resources.
- Oversee the maintenance and organization of the office space, ensuring a clean and effective work environment.
- Act as a liaison between different departments, fostering effective communication and collaboration.
Qualifications:
- Highschool Diploma; additional education or certification is a plus.
- Has a broad understanding of holistic lifestyle and integrative healthcare.
- Proven experience in office management or a similar role.
- Strong leadership and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Proficiency in office software and applications.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
