Operations Associate

You have at least two years of experience supporting operations work for non-profits, keeping systems running day to day while also seeking ways to improve them. You are curious and motivated, can quickly learn new skills, and are passionate about improving people’s lives by fighting for economic and social equality.

 

Responsibilities:

Administration - 60%

  • Manage the Executive Director’s internal and external meetings, calls, travel, and workflow, including prioritizing meetings and projects based on organizational goals
  • Plan meeting agendas and facilitate all-staff check-ins
  • Facilitate electronic signature process for Executive Director
  • Work with our finance team to facilitate reimbursements for staff
  • Oversee receipt management and complete monthly credit card reconciliation
  • Organize and maintain electronic filing system for operations department, ensuring all contracts and documents are properly labeled and stored
  • As needed, support for the leadership team and other administrative duties as assigned

People and Culture - 30%

  • Plan virtual team events such as holiday parties, happy hours, and celebrations of birthdays
  • Ensure all staff have the office supplies, technology, and software resources needed to perform their jobs
  • Contribute to recruitment, hiring, and onboarding processes by helping with the marketing of available positions and co-managing the onboarding process with the Operations Lead
  • Help oversee the appropriate application of company policies, including benefits such as vacation and sick leave
  • Co-manage the planning and logistics of semi-annual in-person staff retreats
  • Streamline and improve organizational processes, workflow, and internal communication
  • Research and recommend professional development opportunities and organizational best practices

IT Administration - 10%

  • Maintains database of technology, sending and receiving tools and laptops to remote staff
  • Collaborate with Campaigns Director to manage domain database
  • Institutes and enforces cybersecurity policies to protect IP, data, users, and devices
  • Maintains software licenses & usage by staff
