Practice Manager

 

Description:

Oregon Health & Science University (OHSU), one of the leading medical and research institutions in the United States, is seeking a Practice Manager 2 for its Community Hematology Oncology (CHO) section under the Knight Cancer Institute. This role is based at the East Portland-Adventist location and is responsible for overseeing day-to-day business and clinical operations, including clinic and infusion services, staff management, compliance, human resources, and continuous improvement in patient care delivery.

The Practice Manager plays a vital leadership role in advising the CHO Director on practice issues, leading optimization initiatives, managing complex relationships among stakeholders, and driving performance excellence. The ideal candidate will demonstrate strong leadership, analytical, and problem-solving skills, with a proven record of managing clinical operations efficiently.


Key Responsibilities:

Operations Management:

  • Lead and oversee daily operations for multi-specialty oncology and palliative care services, ensuring excellence in patient care and service delivery.

  • Manage workflow, staff productivity, and physician engagement to maintain high performance and service standards.

  • Resolve patient, staff, and vendor concerns promptly and effectively, ensuring patient satisfaction and service quality.

  • Develop strategies to enhance patient access, reduce waiting times, and ensure smooth clinical operations.

  • Collaborate with CHO leadership to align department operations with organizational strategic goals.

  • Monitor budgets, analyze variances, and ensure financial compliance with institutional policies.

  • Prepare reports and communicate performance metrics to leadership regularly.

Process Improvement & Project Management:

  • Plan and execute process improvement programs using OHSU Performance Excellence methodologies.

  • Lead initiatives to enhance patient flow, space utilization, staffing optimization, and operational efficiency.

  • Analyze key performance indicators such as patient wait times, phone response rates, and appointment availability.

  • Promote a culture of continuous improvement, addressing operational challenges and implementing best practices.

Human Resources, Education & Training:

  • Supervise, mentor, and develop clinical administrative staff including PASR, CMA, CNA, MA Care Coordinator, and Team Coordinators.

  • Conduct regular performance reviews, manage disciplinary actions, and oversee recruitment and onboarding.

  • Foster teamwork, professional growth, and positive employee engagement across departments.

  • Maintain compliance with labor laws, union contracts, and HR policies.

  • Ensure continuous education and skill enhancement through staff training programs.

Facilities, Equipment & Regulatory Compliance:

  • Manage clinic infrastructure, ensuring all facilities and equipment are safe, functional, and compliant with regulations.

  • Coordinate repairs, replacements, and upgrades in collaboration with property management and vendors.

  • Maintain compliance with OSHA, HIPAA, DNV, and other healthcare safety standards.

  • Ensure environmental safety and adherence to OHSU regulatory requirements.


Qualifications and Requirements:

Required:

  • Bachelor’s degree in a related field plus 3 years of supervisory experience in a healthcare or clinical setting (or equivalent combination of education and experience).

  • Excellent communication, organizational, and problem-solving abilities.

  • Strong teamwork and leadership skills with the ability to manage large, multidisciplinary teams.

  • Proficiency in Microsoft Office Suite.

Preferred:

  • Master’s degree in healthcare administration or a related field.

  • Experience with EPIC, PowerBI, Kronos, DNV standards, and Qgenda.

  • Credential such as FACHE, CMPE, or equivalent.

  • Previous leadership experience in oncology or ambulatory care settings.


Additional Details:

  • On-site position with occasional early mornings, evenings, weekends, and holidays as required.

  • Involves local travel to various OHSU and partner locations across the Portland metro area.

  • Extensive computer use and occasional physical activity required.

  • Participation in the operations on-call rotation is mandatory.
