The College Prep Program is integral to Washington University’s college readiness and college pipeline programs within the Admissions and Financial Aid unit. The Program Coordinator for Recruitment and Events Management (REM) coordinates various routine and complex administrative and programmatic support functions for Washington University’s College Prep Program.

The Program Coordinator for REM will plan all internal and external events and support marketing and communications efforts. The position will also play an integral role in planning and staffing the summer academy held annually during the month of June. Specifically, the position coordinates and manages the logistics of Summer Academy, academic year programming, and other events, including vision board presentation, graduation, and new scholar orientation.

The Program Coordinator will lead the recruitment, evaluation, and selection process for new CPP cohorts each year in conjunction with the Director.

The Program Coordinator for Recruitment and Events Management (REM) will also counsel and support program participants, meeting with scholars individually at minimum, once a semester, while monitoring good standing progress. Reporting to the Director of the College Prep Program, the Program Coordinator for CPP will work collaboratively with CPP full-time staff, Graduate Fellows, and Program Assistants to meet the needs of the program and students served.

Job Description

Primary Duties & Responsibilities

  • Plan and execute all events including, but not limited to, New Scholar Orientation, Summer Academy, academic year programming and the annual graduation ceremony, while working under the leadership of the Director and in consultation with CPP staff. This includes working with internal and external partners, Graduate Fellows, and program assistants to ensure programming meets the needs of CPP student participants.
  • Manage the CPP’s newsletter and assist in the development of the CPP’s printed and electronic materials including but not limited to brochures, reports, and manuals. Assist in providing content for the website.
  • Manage program event logistics to include, but not limited to, space reservations, field trips, travel accommodations, catering orders, and facilitate scholar check-in and checkout for various academic year programs and summer academy.
  • Lead the recruitment, evaluation and selection process of the entering cohort. This includes developing a recruitment communication plan; planning and coordinating outreach efforts; coordinating the evaluation of applications, planning interview day, coordinating the final selection process, and preparing final reports/overview of the entering cohort.
  • Counsel and support current CPP student participants to ensure students are engaged and benefitting from the program. Meet with individual students once a semester and be available to assist students who may encounter challenges between meetings. Keep records of meeting outcomes and, share relevant information with Graduate Fellows and other CPP staff who support participants.
  • Counsel and support college-attending College Prep Program (alumni) enrolled outside of Washington University in St. Louis. Develop and execute alumni programming including care packages and communications.
  • Serve as a positive and innovative member of the CPP team communicating ideas, challenges, and solutions to the team.
  • Perform other duties as assigned by supervisor.

Working Conditions

  • This position will be located in an office environment.
  • Position may be eligible for remote work based on business needs based on the discretion of the director.
  • The position is full time benefits-eligible, working primarily M-F, but work will include evenings and/or weekend assignments.
  • Must have ability to travel to on- and off-campus locations.

Preferred Qualifications

  • Experience with basic office accounting and human resource systems.
  • Experience working with high school students and families.
  • Excellent written and oral communication skills.
  • Demonstrated intercultural competence and commitment to working with diverse populations.
  • Demonstrated competency with office computing tools; including, but not limited to Word, Excel, mail merging and/or data tracking systems.
  • Excellent customer service skills; ability to maintain effective working relationships and address the potential and current needs of students.
  • Ability to work with sensitive information and maintain confidentiality.
  • Must demonstrate attention to detail and accuracy, time management skills, and follow-through.
  • Ability to organize, manage multiple tasks, and meet deadlines in a fast-paced environment.
  • Effective problem-solving skills, must demonstrate excellent judgement and sound decision making.
  • Ability to work effectively independently and collaboratively within a team.
  • Ability to occasionally work outside of standard university work hours.
