Description:
We are seeking a highly organized and proactive Administrative Assistant 3 to become a vital part of our supportive community. This role requires a self-starter who can anticipate needs, take initiative, and effectively manage a variety of administrative functions. The successful candidate will provide comprehensive support to senior leadership, including managing complex schedules, coordinating meetings and travel arrangements, and handling confidential information with professionalism. Working closely with a Senior Vice President, this position offers an opportunity to contribute significantly to the efficiency and effectiveness of our executive team. The role is hybrid, based in Washington, DC or Louisville, KY, with a requirement to work two days in the office each week.
Qualifications
- 5+ years of administrative experience supporting senior leadership
- Proven ability to coordinate complex travel arrangements, including flights, accommodations, and ground transportation
- Proficiency in Microsoft Outlook, Word, and PowerPoint, with a strong understanding of office suite tools
- Experience navigating multiple systems and software applications concurrently
- High level of professionalism with polished corporate demeanor and executive presence
- Exceptional attention to detail and confidentiality
- Strong communication skills, both verbal and written
- Ability to prioritize tasks and manage multiple initiatives effectively
- Flexibility to support urgent requests, including availability during nights and weekends as necessary
Responsibilities
- Manage and maintain calendars for senior executives, scheduling meetings and appointments efficiently
- Coordinate internal and external meetings, including logistics, travel arrangements, and meeting amenities
- Prepare, transcribe, and proofread correspondence, reports, presentations, and meeting minutes
- Handle expense reports and ensure accurate and timely reconciliation
- Build and maintain positive relationships across departments and with external stakeholders
- Assist with special projects and administrative tasks as assigned
- Ensure the confidentiality and security of sensitive information at all times
- Support the organization’s policies and procedures, providing guidance and interpretation when needed
