The Billing Specialist will coordinate client invoicing and manage electronic billing processes across a range of client systems to ensure accuracy and efficiency. The role involves adjusting PDF and electronic bills, responding to report and information requests from attorneys, legal administrative assistants, clients, and stakeholders. Strong organizational skills, meticulous attention to detail, and the ability to collaborate across teams are essential.

Key Responsibilities:

  • Handle incoming requests for client invoices, discounts, write-offs, bill template changes, electronic billing, report requests, and rate information.

  • Manage billing activities for assigned electronic billing clients and attorneys.

  • Configure and maintain e-billing profiles with vendors like Tymetrix360, Legal Tracker, Passport, CounselLink, and others.

  • Monitor Accounts Receivable (AR) and unbilled time/costs to ensure timely billing and payments.

  • Consult with attorneys and legal administrative assistants to identify billing solutions and best practices.

  • Generate reports using firm billing systems and Microsoft Excel for client and attorney requests.

  • Build and maintain professional customer service relationships internally and externally.

  • Maintain confidentiality in all financial matters.

Skills Needed to Be Successful:

  • Strong skills in using various electronic billing platforms.

  • Extensive knowledge of Aderant Expert billing solutions.

  • Proficiency in MS Office, especially Excel (including vlookups, pivot tables, data access).

  • Excellent oral and written communication skills for both technical and non-technical audiences.

  • High-level customer service and positive relationship-building ability.

  • Thorough understanding of firm policies and financial processes.

  • Exceptional organizational skills to manage workload effectively.

Position Requirements:

  • 2+ years of experience in a legal billing environment.

  • Bachelor’s degree preferred.
