Billing Specialist

Description:

IMEG, a leading 100% employee-owned design consulting firm, is hiring a Billing Specialist to serve as the primary liaison between assigned project teams and the Accounting Department. This role involves managing project billing, accounts receivable, and maintaining professional relationships with client executives and team members to ensure smooth commercial and billing processes.

Responsibilities:

• Assist teams in setting up projects in Vision software, ensuring accurate commercial contract terms and contacts

• Review new project contracts for unusual terms affecting billing

• Request and review billing information from team members for accuracy and completeness

• Prepare monthly client billings and monitor accounts receivable collections

• Follow up on unpaid invoices with team members and clients

• Manage client communications regarding commercial billing matters

• Review and approve timesheets and expense reports for team members

• Enter and track subconsultant invoices, approving payments as due

• Visit assigned teams at their office locations twice a year

• Maintain confidentiality of corporate, personnel, and project/client information

Skills & Qualifications:

• Strong interpersonal and customer service skills

• Solid bookkeeping background

• Understanding of electronic billing processes

• Ability to read and interpret contracts regarding commercial terms

• Attention to detail and organizational skills

• Ability to adapt to fast-paced environments

• Proficiency with Microsoft Office Suite (Word, Excel, Outlook)

• Ability to travel up to 10%, including occasional overnight stays

Education & Experience:

• Minimum 2-year post-high school education

• Experience in engineering and/or construction industries preferred

Physical Requirements:

• Prolonged periods of sitting and computer work

• Ability to lift up to 15 pounds occasionally
